Give your care team one view of the clinic day.

Connect bookings, arrivals and patient handoffs without adding another disconnected list.

A clinician and a reception teammate working together

Separate the booking from the arrival

An appointment tells the team who is expected. A check-in tells them who has arrived. Keep those states distinct so reception and clinicians can understand the day without relying on assumptions or verbal updates.

Agree on a small set of queue states

Waiting, Called, With doctor and Completed can provide a shared vocabulary for the visit. Agree who changes each state and when. Queue ordering and any exceptions should follow the clinic’s operating process, with staff able to review the context.

Keep availability separate from bookings

A schedule should show both reserved time and genuinely available time. Held and blocked periods serve different purposes and should remain recognisable. Before confirming a visit, check the current availability and the appointment details together.

Make the next handoff easy

The next teammate should be able to see the patient’s current workflow state and who is responsible for the next action. Keep access aligned with staff responsibilities. Start with one team or workflow, then review what needs to change before expanding.
