Follow-ups · Workflow guide
Make every follow-up useful to the patient.
A thoughtful patient message starts with a reason, a clear action and a team ready to respond.

Begin with a clear reason to reach out
An appointment reminder, an administrative follow-up and a broader outreach message are different conversations. Make the purpose clear before choosing an audience or writing a template. Clinical follow-up instructions should come from the responsible care team.
Write for a simple next action
Keep administrative messages short and easy to understand. Tell the patient what the message concerns and how to reply or request help. Avoid including unnecessary sensitive information in notifications or outreach copy.
Plan for the reply
A campaign is only one part of a conversation. Decide which team monitors replies, how booking requests are reviewed and when a staff member should take over. A patient response should not be treated as a confirmed booking until the clinic has completed that step.
Review consent and the connected service
Before sending, review the clinic’s consent and communication process along with the connected provider’s requirements. Confirm that templates, audience selection and staff responsibilities are ready. Use a focused, approved workflow and review the results with your team.
