How to choose an AI receptionist for a hospital in India: 12 questions to ask
A buyer’s checklist for hospitals comparing AI receptionists: languages, live booking, handoffs, emergencies, privacy, call quality and how to run a fair trial.
Updated

The short answer
Choose an AI receptionist by testing it on your own calls, not by reading feature lists. Check that it speaks your patients’ languages, books into your live OPD schedule, hands over to staff with context, directs emergencies correctly, never gives medical advice, protects patient data under the DPDP Act and lets callers reach a person. Run a trial with real call scenarios before deciding.
The 12 questions
Ask every vendor the same questions and ask them to demonstrate the answer on a call.
- Which languages does it handle well on a real phone line, and can we test our patients’ languages, including mixed languages?
- Does it book into our live OPD schedule, and how does it show requests that still need staff confirmation?
- How does it handle many departments and doctors with different OPD days?
- How does it hand a call over to staff, and what does staff see?
- What happens when a caller describes symptoms or an emergency?
- What happens when a caller asks for a person?
- Does it tell callers they are speaking with an automated assistant?
- Where is call data stored, who can access recordings and transcripts, and how long are they kept?
- How does it meet the Digital Personal Data Protection Act, 2023?
- How do we update timings, fees, doctors and holidays, and how quickly do changes apply?
- What reporting do we get on calls, bookings and handoffs?
- What does setup involve on our side, including telephone numbers and staff time?
Score the answers side by side
A simple scoring table keeps the comparison honest.
| Area | What good looks like | Warning sign |
|---|---|---|
| Languages | Clear calls in your patients’ languages, including mixed speech | Only English and Hindi, or a demo in one language |
| Booking | Books into your live schedule and shows pending requests | Takes messages only, or claims bookings without a schedule |
| Handoffs | Staff see a summary and can call back quickly | Calls end without a record |
| Safety | Directs emergencies immediately and never advises | Tries to triage or answer clinical questions |
| Privacy | Clear storage, access and retention answers | Vague answers about recordings |
| Control | Your team updates information easily | Every change needs the vendor |
Run a fair trial
Write ten real call scenarios from your front desk, including an OPD booking, a reschedule, a fee question, directions, an insurance question, a caller asking for a specific doctor, an elderly caller, a mixed-language caller, a symptom description and a request for a person. Have staff make the same calls to each vendor and score the results.
Questions about cost
Pricing models differ: per minute, per call, per month or by bundle. Compare the total for your real call volume and languages, and ask what is included in setup, telephony and support. Cheaper per minute is not cheaper if calls fail and patients call back.
Frequently asked questions
What is the best AI receptionist for hospitals in India?
The best one is the one that handles your patients’ languages and your departments on real calls, books into your schedule and hands over safely. Test shortlisted vendors with the same call scenarios.
Should an AI receptionist speak regional languages?
Yes, for most South Indian hospitals. Paperwhale handles Kannada, Telugu, Tamil, Malayalam and English.
Can an AI receptionist triage patients?
No. It should direct emergencies to emergency help and pass symptoms to clinical staff, not judge urgency itself.
How do I compare AI receptionist pricing?
Estimate your monthly call volume and languages, then compare the total including setup, telephony and support. Ask each vendor for a quote on the same basis.
